Ask a small agency what they spend on SEO tools and you get a number. Ask what reporting costs and you get a pause, because it is paid in Friday afternoons.

The usual shape: export from one tool, screenshot from Search Console, rebuild it in a document, write a paragraph explaining what it means, repeat per client. It is not hard work. It is just work, every month, and it is the first thing to slip when you are busy.

Every number comes from a check that actually ran. Where a ranking could not be confirmed, the report says so rather than filling the gap with something tidier.

Pick the day. It goes out whether you remembered or not, which is the entire point.

What we will not put in a report

A report is the document a client uses to decide whether to keep paying you. That makes an inflated one a liability rather than a favour, so a few things are deliberately absent.

  • No invented rankings. If a position could not be confirmed, it is marked not found rather than estimated.
  • No score that moves on its own. Speed scores are taken from repeated runs and the middle one is kept, because a single run is a sample and not a measurement.
  • No filler. Nobody needs forty pages. The client needs to know what changed, what you did and what is next.

This matters more than it sounds. The fastest way to lose a client is a report that says everything is wonderful in a month where the phone did not ring.
